Another possibility is you are running Medisoft under Remote Desktop. Each Remote Desktop session counts as one user license.
Also maybe you are switching users in Windows with Medisoft still running. If you make sure you log out before switching, that will prevent Medisoft from using an extra user license.
If you run the Advantage Configuration Utility on the server you can see in real-time how many users are in the database at any given time.
If you can't get it to work with the number of users that you have licensed, then you may need to buy a user license expansion which is still available for Medisoft v12.
