Entering a P.O. Box for a Practice

I have a practice that only receives mail at their P.O. Box (no street delivery of mail). I have their physical address listed in the Practice Tab, I have their P.O. Box listed in the P.O. Box field. I also listed their facility actual address and checked the box to Send Facility on Claims with 77 qualifier.

BUT the claims denied for the following reason: Value of element N301 is incorrect. Expected value should not be
a 'PO BOX' or 'P.O. BOX'. Segment N3 is defined in the guideline at position 0250. Inval
id data: P.O. BOX 1809
Version: 5010A1 Loop: 2010AA
Segment ID: N3 Element #: 1

What do I do so I can send the P.O. Box as the pay-to?

You are getting the error because they do NOT want the facility address when it is the same as the facility address. So instead, take the facility out. Filling out the practice pay-to tab in Practice Information should cause the pay-to information to be filled out on the ANSI 5010 claim.

OK...so by not entering the facility address, the practice's street address (which I have entered on the Practice tab under Practice info) will still go on the claims....as well as the P.O. Box listed on the Pay-To, right?

Yes. You'll want to enter zip + 4 for these addresses.

The street address did not appear on the claims and that caused my claims to reject (only the P.O. Box appeared). I definitely had the street address (with zip + 4 as usual) on the Practice Info tab and the P.O. Box on the Pay-To, but only the P.O. Box went through on the claims. See following error:

If the Receiver Entity Type is Group, then the Billing Address comes from the Practice Information

If the Receiver Entity Type is Individual, then the Billing Address comes from the Provider record.

The pay to address always comes from the Practice Information Pay To tab.

Only fill out the pay to tab if it is different than the practice information or provider address.

Make sure physical address with zip +4 is setup in practice information and provider address.

It looks like we only support 1 PO Box per practice for claims without jumping through some extra hoops in Medisoft.

I did have Group Practice checked for Practice Type on the Practice Information but it was sending the address under the provider record. Are you saying I should check the Group Practice box for the Receiver in RM? I actually have never done that and the guide has always taken info based upon the Practice Type on Practice Info.

No, you need Group practice selected on the Receiver record in RM.
