problems sending info to public aid

We just found out the our claims to Public aid are not being processed because there is an error in the file that is being sent to Availity, our clearing house. The people that setup our system have been unresponsive to our requests for help. I'm hoping I can find it here. I am told by Availity that the "taxonomy" field is blank on their side, but it is not on ours. Also in the 2010AA the EIN code is showing instead of the NPI code. I would like to get detailed info on how to fix this so we can start getting Public aid to pay claims.

What version of Medisoft?

There are several taxonomy codes in the claim file. Which loop and segment are they referring to?

V17. I'm not sure to the second part of you question. However, after reading some of the posts, I found in the practice ID's the taxonomy codes were blank for the PUB00 entry for each provider. Could that be the issue?

That could be it. It might be best to press CTRL-DEL to delete all the excess Practice ID records and then setup one "ALL" record. On the insurance -> EDI/Eligibility tab, you might need to check the option "Send Practice Taxonomy in Loop 2000A".

Error in sending claims to MediCal.

Error message states: "A transmission error occurred, transfer halted. Error: The process cannot access the file because it is being used by another process."

These claims are send via fax/modem. The application is ran on its own dedicated server. Running Windows XP Pro 32bit.

These are the things I have tried/checked;

Fax is not being used
No other user is trying to send the claims
I have restarted the server and the services related to faxing.
Medisoft tested the modem successfully.
Windows connected successfully with the modem

I believe that's all the steps I have taken so far. Please, help me on this issue, because I need to resolve it by Monday.

What version of Medisoft is this? It sounds like you are using an old out-dated version.

Things started changing around the first of they year. Medisoft v14 can't create proper ANSI 5010 claims. You'll need to upgrade to Medisoft v17 and configure Revenue Management. You'll need to work with a reseller who can help you submit claims direct to Public Aide. If you buy direct from McKesson the only thing they will help you with is switching to RelayHealth clearinghouse.

Payers are slowly adding the ANSI 5010 edits even though your claims are still ANSI 4010. I am not sure when your public aide will drop ANSI 4010, but when they do, you won't be able to use ANSI 4010 at all.
